This system was required to be in place and undergo a yearly audit to track project and prove that all technical projects were thoroughly reviewed and budgeted before it was approved and moved into production that the company can utilize for this everyday business. This system is required to be in compliance with the SOX reporting and auditing as required for retailing industry apparently saving thousands of dollars yearly in development and maintaining manual process physical approvals and maintain paper documents which could be inaccurate and inefficient for reporting and auditing purpose.

This system is exclusively used by the Administrative services division. This application combines the registered agent’s information with a process to accomplish services on the entities which can be served by OCI under the statute. The database has limited access because the accuracy of information given out is very critical. Earlier this system was developed using dBase. The new system allows the agency to maintain registered agent information for employees and the public. Features include search by claims name law firm, case number and plaintiff name update names and addresses of entities being served and company information less chance for error easy search capability and less employee time involved.

HexaCorp suggested using SharePoint Enterprise Content Management (ECM) and developed SharePoint Document Management/Enterprise Search feature which several selection criteria and implemented Single Sign on (SSO) feature for user convenience.
Challenge :
Nearly 20,000 html and classic ASP Pages are used for Intranet Portal - content management/version tracking is too hard for the existing system. Nearly 40,000 PDF policy document searching/locating the document is very hard. Client had 5000 public folders for external vendor for their information.
